Privacy Policy

Version 1.0 (October 1, 2025)

This Privacy Policy sets out how Uniteam Exp Inc. (“Uniteam”, “we”, or “us”) collects, uses, and discloses personal information about you, and how you can exercise your privacy rights. It applies to the Uniteam platform (our website and mobile apps). We follow industry best practices and comply with applicable laws and guidelines (including Apple’s App Store requirements). If you do not agree to this policy, please do not use our services or provide us with any personal information.
 

1. What does Uniteam do?

Uniteam is a business communication and collaboration platform for companies. Companies create and manage an account on our website and onboard their employees. Employees then download the Uniteam mobile app and log in with credentials provided by the company (via email/password or Single Sign-On). The mobile app provides features including:

  • A Home Screen with customizable content tiles (text, images, videos, announcements, leaderboards, etc.).

  • A Feed where employees can post updates (text, images, polls, GIFs via Giphy), and comment on or react to posts.

  • A Connect section for one-to-one or group chat, including sharing media (photos, videos, documents).

  • A Survey section, where the company shares Surveys to be accessed and completed by employees.

  • One-to-one voice/video calls powered by the Zoom SDK (using internet VoIP, not cellular).

  • Push notifications (via Firebase Cloud Messaging on Android/Web and Apple Push Notification Service on iOS) to alert you of new messages, posts, or incoming calls.

  • File handling: Users can upload files (images, documents, videos) to share, and can view/download shared files (stored locally in the app’s sandbox).

What Uniteam does not do:

  • It does not allow individual consumer signup – all user accounts are provisioned by the company.

  • It does not include any in-app purchases or direct money transfers by employees; purchases of Points are handled on the web via Stripe and funded by the employer. But, using the points the Users can purchase Digital Gift Card and company created custom gifts through the Mobile App. This Transaction does not involve any payment gateways nor any similar real money interaction.

  • It does not access any personal data or files on your device beyond what you explicitly share (e.g. we do not read your photos or contacts without your action).

  • We do not sell or rent your personal data, and we do not send marketing spam or ads.


2. What personal information does Uniteam collect?

Uniteam collects the following categories of personal information:

  • Account and profile information: When you register or log in, we collect your name, email address, password (hashed), profile photo, and the identifier of your company account. If you authenticate via SSO (WorkOS), we receive your name and email from the identity provider.

  • Content and communications: We collect content you create or share in the app – including your posts, comments, reactions on the company feed, and the chat messages (text or media) you send in Connect, and the Survey content you fill in This includes any images, videos, texts or files you upload to share.

  • Calls metadata: For one-to-one calls, we log metadata such as who initiated the call, the recipient, time, and duration. (The audio/video streams are handled by Zoom and not stored by us.)

  • Device and usage data: We automatically collect technical and usage data such as your device type, operating system and app version, IP address, and push notification token. We also collect crash reports and performance logs from the app to diagnose issues.

  • Files and media: When you upload or download a file (image, video, document) in the app, we store it in our cloud storage. We only collect those files that you explicitly share. Files you download are kept in the app’s sandbox; we do not scan or access other data on your device.

  • Third-party service data: We receive data from integrated services. For instance, WorkOS provides your identity info at login; Zoom or TangoCard require your name/email to set up calls or gift redemptions; Stripe handles company payments on the web (we do not see employees’ payment info). We do not collect any financial data from users in the app.

We do not collect additional sensitive personal data. For example, we do not collect your contacts, calendar, or precise location. We only use the information needed to provide the service features.


3. How does Uniteam use personal information?

We use the information we collect for purposes such as:

  • Providing and improving the service: To authenticate you, connect you to your company’s workspace, and enable the app’s features (feed, chat, calls, etc.). We use usage data and feedback to maintain and improve the platform.

  • Communications and support: To send you notifications about app activity (new messages, calls, etc.) and to respond to your support inquiries.

  • Content delivery: To store and deliver your posts, messages, and files to other authorized users.

  • Safety and moderation: To detect and prevent abuse or policy violations, and to let you report or block abusive content.

  • Analytics: To analyze usage trends and app performance. We collect aggregated statistics and crash logs to improve reliability.

  • Security and compliance: To secure accounts (e.g. logging IP addresses for security monitoring) and to comply with legal obligations (e.g. fraud prevention, retention for audits).

  • Third-party features: To enable integrated features – for example, sending your name to Zoom when initiating a call, or fetching GIFs from Giphy.

We do not use your personal information for any purposes beyond those described here. In particular, we do not send you marketing messages or ads unrelated to the service, unless you explicitly opt in.


4. Legal basis for processing personal information

If you are in the European Economic Area (EEA) or UK, we rely on one or more of these legal bases:

  • Contract performance: Processing is necessary to provide the Uniteam service that you or your employer requested (for example, creating and administering your account).

  • Legitimate interests: Processing is necessary for our legitimate business interests (such as operating and improving the platform), provided your rights do not override those interests.

  • Legal obligations: Processing is necessary to comply with a law or legal process (for example, responding to a subpoena or keeping records for tax purposes).

  • Consent: Where we ask for it (for example, marketing communications), processing is based on your consent. You can withdraw consent at any time.


5. Who does Uniteam disclose personal information to?

We may share your personal information with:

  • Affiliated companies: Our subsidiaries or affiliates that help operate or support the Uniteam service.

  • Service providers: Third-party vendors who perform services for us. For example, we use Amazon Web Services (AWS) for hosting and storage, WorkOS for authentication, Zoom for calls, Firebase/APNs for notifications, Sentry for error monitoring, Giphy for GIF content, TangoCard for gift cards, and Stripe for company payments. These providers access only the data needed for their function and must keep it secure.

  • Business partners: For instance, companies to which your employer has contracted us for related services (e.g. payroll or rewards partners), if applicable. We only share what is necessary for their service.

  • Legal and regulatory authorities: If required by law or legal process (such as a court order or law enforcement request), or to protect our rights or safety (e.g. to prevent fraud).

  • Acquirers: If Uniteam Exp Inc. (or its assets) is acquired by another company, user information may be transferred to the new owner, who will use it under this policy.

We do not sell, rent, or trade your personal information to advertisers. We do not use it for targeted advertising. We may share aggregated or anonymized information (for example, overall usage statistics) with third parties, but such data cannot be used to identify you.


6. Cookies and similar tracking technologies

We may use cookies or similar tracking technologies on our website and app for purposes like managing your session, remembering preferences, and analytics. These are essential cookies (e.g. session cookies for login, preferences) and analytics cookies. For example, we might use cookies to save your display settings and compile usage statistics.

We do not use tracking for advertising or share cookie data with advertisers. You can usually disable or clear cookies in your browser, but doing so may affect login and site functionality. We do not respond to browser “Do Not Track” signals.


7. How does Uniteam keep personal information secure?

We implement appropriate technical and organizational safeguards to protect your personal data. All data in transit is encrypted (HTTPS/TLS), and data at rest is encrypted on our servers. Access to personal data is limited to authorized employees, contractors, and service providers on a need-to-know basis.

No system can be 100% secure. We cannot guarantee absolute protection of your data. Email is not a secure medium, so we advise caution when sending sensitive information via email.


8. International data transfers

Uniteam’s service is distributed globally. Your personal information may be stored or processed in countries other than where you reside. For example, our servers and cloud infrastructure are located in the United States and other regions. When we transfer personal data internationally, we do so under appropriate safeguards. If the destination country has been recognized by regulators as providing adequate protection, we rely on that framework. Otherwise, we implement legal mechanisms (such as EU Standard Contractual Clauses or other approved safeguards) to protect your data.


9. Data retention

We retain personal information for as long as needed to provide our service and comply with legal obligations. For example, we keep user accounts and content active while the service is in use. We may also retain information that is required by law or needed for security (e.g. to investigate fraud or respond to legal claims). When that need ends (and we are no longer required to keep it for legal reasons), we will delete or anonymize the data.


10. Your data protection rights

Depending on your jurisdiction, you may have rights regarding your personal data. These can include the rights to access, correct, or delete your data; to object to or restrict processing; to obtain a copy of your data; to withdraw consent; and to opt out of marketing. For example, under GDPR you have rights of access, rectification, erasure, objection, and data portability. To exercise any applicable rights, contact us as described below. We will respond to valid requests in accordance with law.


11. Children’s privacy

Our services are intended for adults (business employees). We do not knowingly collect personal information from anyone under 16. If we discover that a child (under 16) has provided us with personal data without parental consent, we will delete that data and terminate the account.


12. Third-party websites

The Uniteam app or website may contain links to third-party sites (for example, social media or partner sites). These third-party sites have their own privacy policies, and we are not responsible for their practices. We encourage you to review the privacy policy of any site you visit through Uniteam.


13. Updates to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services or legal requirements. We will post the updated policy on our website and update the “Last updated” date. If we make material changes, we will notify you (for example, via email or an in-app notice) and, if required by law, obtain your consent. You should review this policy periodically.

15. California Privacy Rights

If you are a California resident, the California Consumer Privacy Act (CCPA) grants you additional rights. For example, you may request disclosure of the categories of data we collect and the categories of third parties with whom we share it, as well as request deletion of your personal data (subject to legal exceptions). You also have the right to opt-out of the “sale” of personal information. Note: We do not sell personal data to third parties.
